How to fill out an RFI?

Now that you created an RFI, as describe in the article How to create a RFI Project?, you can fill out the RFI. Go to projects:


Click "RFI Projects":


Here you can manage your RFI's projects:


Click "View" to open the RFI you created:


The first time you open it, you have to choose the Layout Template and RFI Template that you defined previously:



The first step is to build the RFI. There are several tabs to help you:

  1. Home
  2. RFI Team
  3. Purpose & Background
  4. Context
  5. Scope & Deliverables
  6. Schedule & Budget
  7. Other Requirements
  8. Proposal Content
  9. Specific Questions
  10. RFI Process - With the milestones
  11. Associated documents

B) RFI Team


The first tab you have to fill is the RFI team:



Click "Add Team Members":



Select the member you want to be part of the RFI and click "Submit":



The member are added to the list:



Click Next:


C) Purpose & Background


Here you have the purpose of the RFI and the Background. All fields are optional and you have to toggle the ones you want to use.


When you are finished, click "Save & Next". 

It is import to use these buttons "Save & Next", otherwise your content will not be saved when you go to the next tab.



D) Context


Here you have the Rationale for the Project, the High Level Objectives, the Expected Benefits and What has been done:



Click "Save & Next"



E) Scope & Deliverables


Here you have Scope, Expected Deliverables and Support required:



Click "Save & Next"


F) Schedule & Budget


Here you can enter the Project Expected Start Date, the Project Expected End Date, the Project Expected Duration and Project Target Budget


Click "Save & Next"




G) Other Requirements


Here you can request the Language, the Team Setup, the Location and Other:


Click "Save & Next"


H) Proposal Content


Here you have Expected Proposal Content, Reference and Expertise and Fees and Workload:


Click "Save & Next"


I) Specific Questions

Here you can add any question you want to ask to your provider:


You can add new sections and new questions by click on the respective link as following the screen's instructions. Once you are finished, click "Save & Next":



J) RFI Process


Here you can define the Milestones, the Eligibility and qualifications, the Q&A, Other Questions and Key Contact for the project. Some milestones are added by default and other can be defined in the customization menu, as explained in the article: How to Customize RFI's Settings, Layouts & Templates?


Click "Save & Next"



J) Associated Documents


Last you have the possibility to associate documents to the RFI. To do that, Click the Upload or drag and drop the document:


The document was attached:


Save the document:




Now review the information and when you are ready to move on, click "Activate Sourcing":
