How to Customize RFP's Settings, Layouts & Templates?

To customize the RFP:

1. Click "Admin"


2. Click "Customisation"



Click "RFP":



The first tab are the settings. Here you can customize the Compliance, the Milestones and the Selection Criteria. In the compliance section you have the option to toggle the requirement that all companies selected to be part of the RFP need to have a NDA signed and that they cannot have any conflict of interest



Next you can customize the Milestones of your RFP. We have put some common ones there for convenience, but you can edit or remove them if you want:



Last, customize your selection criteria. Again, we created some common ones, but you can edit or delete them if you want:



To edit or delete the milestones or the selection criteria, click the 3 dots on the right side of the name, and choose:



The second tab on the RFP menu is the Layout Library, where you can customize the RFP's Layouts:



The Third tab is the Template Library, where you can customize the predefined text in your RFP's:



On these two tabs you change existing layouts and templates, delete them and add new ones.

Layout Library


1) Add new Layout


To add a new layout, go to the layout library and click "Add Layout":



First option, let you create a layout from scratch. Click "Create new layout":



Enter the layout name and the language for the layout. Each language can have a different layout:



After that, on the "Page Style" section, define the cover page, header and footer content:



Next, you can change the Text Style for the different titles. You can change Font Type, Font Size, Font Style and color:



When you are done with your customizations, click "Save & Exit"



This is how you add a template from scratch.
The next option is to add a new layout based on a existing RFP. This will copy a previous existing MSA layout to a new layout template. Click "Create from existing RFP":



Select the RFP you want to use as the base for the new Layout:



Click "Create Template":




The new Layout Is added to the list:



The last option is to create a layout based on the library of layouts from Consource. Click "Create from Consource Library":



Select one of the layouts from the list:



Click "Create Template":




The new layout is added to the list:



2) Edit Layout


If you want to modify a layout, click the 3 dots on the Action column: 



Click "Edit":



Modify the layout as you wish:




When you finish your customization, click "Update & Exit":



Your modifications are saved and you go back to the list of Layouts:



3) Copy a Layout


You can copy a layout to create a new one. click the 3 dots on the Action column: 



Click "Copy".  A copy of the layout is added to the list with the "_copy" suffix:



Now you can modify the template as demonstrated on item "2) Edit a Layout".

4) Delete a Layout


To delete a layout, click the 3 dots on the Action column: 



Click "Delete":




Click Yes:



The layout is removed from the list:



Templates Library


1) Add new Template


To add a new template, go to the "Templates Library" tab and click "Add Template":



Click "Create new template"




Give the template a name and select the language:



Now you can start prepopulating the information that will be default on all RFP's based on this template. You can add:

      1.1. Purpose of the RFP
2. Background
      2.1. About us
      2.2. Additional Information
      2.3. Strategic Background
3. Context
      3.1. Rationale for the Project
      3.2. High-Level Objectives
      3.3. Expected Benefits
      3.4. What has been done
4. Scope & Deliverables
      4.1. Scope
      4.2. Expected Deliverables
      4.3. Support required
5. Schedule and Budget
      5.1. Project Expected Start Date
            This item is project specific and will be populated during the RFP creation
      5.2. Project Expected End Date
            This item is project specific and will be populated during the RFP creation
      5.3. Project Expected Duration
            This item is project specific and will be populated during the RFP creation
      5.4. Target Budget
            This item is project specific and will be populated during the RFP creation
6. Other Requirements
      6.1. Language
      6.2. Team Set-up
      6.3. Location
      6.4. Other
7. Proposal Content
      7.1. Expected Proposal Content
      7.2. References & Expertise
      7.3. Fees & Workload
8. RFP Process
      8.1. Milestones
            This item is project specific and will be populated during the RFP creation
      8.2. Eligibility & Qualifications
      8.3. Selection Criteria
            This item is project specific and will be populated during the RFP creation
      8.4. Q&A
      8.5. Other Questions
      8.6. Key contact
            This item is project specific and will be populated during the RFP creation
9. Associated Documents
            This item is project specific and will be populated during the RFP creation

To make the field available on the RFP, you to toggle it, using the switch on the right side of the field:



Gray means the field will not be part of the RFP. Green means it will. 
When you are done, click "Save & Exit":



The template is created.

The next option is to add a new template based on a existing RFP. This will copy a previous existing RFP to a new template. Click "Create from existing RFP":



Select the MSA you want to use as the base for the new Template:



Click "Create Template":




The new template is added to the list:



The last option is to create a template based on the library of templates from Consource. Click "Create from Consource Library":



Select one of the templates from the list:



Click "Create Template":




The new template is added to the list:



2) Edit Template


If you want to modify a template, click the 3 dots in the Action column: 



Click "Edit":



Modify the template as you wish:



When you finish your modifications, click "Update & Exit":



Your modifications are saved and you go back to the list of templates:



3) Copy a Template
